1. How does your service work?


Full Billing Service Solution

All you need to do is send us your work, either by scanning and uploading it to us, or by mailing it, or by having us pick it up. All your patient billing and payment data is available in Real-Time on our web site at www.claimpower.com. The web site completely exposes our service. You can see all the work as it is done, including statuses, notes and any missing information that needs your attention. You can also run all commonly used practice management reports from the web site.


Back Office Solution

During the day you scan your Encounter forms, Hospital Face Sheets, Patient registration sheets, EOBS, etc. At the end of your day, you run the Shutdown routine in the software. This automatically sends your scanned documents, and your database to our secure server. During the overnight hours, we use your scanned documents and your database for the data entry and to perform our services. The data is sent back to our secure server, around 8AM. When you start up in the morning, you run the Startup routine in the software. This updates your database with all the work done by us overnight.

2. What services do you perform?


Full Billing Service Solution


All services on the Services page listed as ‘Included’ are performed by us. You only need to send us your work, and monitor the web site for any missing information.


Back Office Solution

With the Back Office Solution, you get all the benefits of In-House control, plus all the benefits of outsourcing. All services on the Services page listed as ‘Included’ are performed by us as part of this service. All tasks listed as ‘Optional’ or ‘Optional Group’ can be performed by us if you choose to have us do them. Depending on the availability of your employee resources, you can do as much or as little as you please. The tasks listed as ‘Your Tasks’, must be performed by you if you choose this solution. The most cost effective way to use this service is for you to do those tasks listed as ‘Your Tasks’, and the optional tasks with this color and let us do all other tasks listed with this color.

3. Can data from my existing software be transferred and used?


This depends on how your existing software handles data exports. If your software can export all its data to an electronic format, we may be able to convert it into our formats at a small additional cost to you. If this cannot happen, but your existing software can print reports of patient demographics and Receivables, we can manually enter it into our database. Please call us to discuss your particular situation.

4. How much does your service cost?


Our fees vary depending on your specialty and practice size and whether or not you scan your documents. No matter which solution you choose, you will almost surely experience significant savings, and our efficient processing model with overnight services will quite likely result in an increase in your overall collections. The Savings Calculator estimates your savings based on a 7 1/2% charge for
the Full Service Solution and 4% for the Back Office Solution.

5. What documents do I need to send you?


For billing

You would send us patient demographics and Insurance information. This is required only for new patients, and patients who have had a change in their demographic or insurance information.

For Office patients, this information would be on your patient registration form. For Hospital patients, this information would be on the Hospital Face Sheet.

For patients seen in the office, you would send us your Encounter sheets.

For patients seen in the hospital, most doctors just write the procedures and diagnosis on the hospital face sheet, or send us a weekly or daily log of the patients seen.



For Posting payments

You would send us your EOBs, and stubs from the patient bills. Co-payments will be posted from the information contained on the Encounter sheets.

6. Are there any lengthy contractual requirements?


No. While you do need to sign a contract acknowledging that you understand the terms and conditions, there are no long term commitment requirements. You can cancel our service at any time. We will also return all your data to you in a tabular, electronic format to facilitate your migration to another software or service, upon payment of any outstanding balances.

7. Are there any setup up fees?


No. While there are no setup fees, we do require a $2,500 deposit for the hardware that is supplied to you, if you choose the Back Office Solution. This is a refundable deposit, and will be refunded to you, should you cancel our service for any reason during the first 1 year from the inception of your contract, and return the hardware.

If you choose the
Full Service Solution, and scan your documents, a deposit of $950 will be required for a High Speed, Dual-Sided, Production Grade Document Scanner. This is also a refundable deposit, and will be refunded to you, should you cancel our service for any reason during the first 1 year from the inception of your contract, and return the scanner in a useable condition.

8. Are there any minimum fees?


Yes, there is a minimum monthly charge of $500 per provider in your practice, for
the Back Office Solution. There is no minimum charge for the Full Service Solution.

9. Do I have to buy any equipment?


Not necessarily. If you choose the Back Office Solution, a production grade, high speed scanner, and a computer server with a flat screen monitor is included as part of the service. If only one user in your office is going to use the software, you do not need to purchase any additional machines. If you need more than one user to access the software, your existing machines can be used as workstations for additional users. The software itself, can be installed on as many machines as you chose. There are no restrictions on the number of users that can use the software in your office.

If you choose the Full Service Solution, your existing computers are all that you need to access the internet so that you can get to your data at our web site.

10. What support and training do you offer?


No training is necessary if you choose the Full Service Solution. If you opt for the Back Office Solution, a two week on-site training period is included. Subsequently, we offer online, desktop support on an as needed basis.

11. Who is responsible for data backups?


We make multiple redundant backups of your data as part of both the Solutions offered. This data is permanently stored by us in two distinct locations. If you choose the Back Office Solution, should your system crash, we will ensure that your data is fully restored and sent back to you.

12. I am not in your geographical location, can I still use your service?

Yes ofcourse! If you choose the Full Service Solution, you can scan and upload your documents to us, or you can mail them to us. You then access your data over the internet. Therefore your physical location is immaterial.

If you choose the Back Office Solution, we use the internet to get your scanned documents and your data files at the end of your day, and similarly, the internet is used to return your updated data to you. Therefore, your physical location does not matter.

The only requirement is that you have a broadband internet connection.

16. Do I have control of my data?


Yes!, if you choose the Back Office Solution. You have TOTAL control of your data, as it is physically located in your office during your working day. The software allows you to make any updates that you require. The software also has the capability to produce any report that you need. You can also do data entry and run the validation routines in your own office, if you desire. It is a complete Medical Billing software, with features and capabilities not found in ANY OTHER software on the market today.

If you choose the Full Service Solution, you have access to all your data at our web site, but you have limited capabilities to make changes. The data is not physically located in your office.

17. Can I just use your software and not your service?


You could if you choose the Back Office Solution, but you would incur the minimum monthly fee. It is therefore to your advantage to also use the service, and have us professionally do almost 90% of your work for you. 18. What happens if my staff goes on vacation or quits?


You will have very little to worry about! As long as you can scan and send us your documents, or mail your work to us or have us pick it up from you, your work will get done. You can even ask us to temporarily take on the entire Medical Billing process for you (if you have chosen the Back Office Solution).

19. What work do I/my staff have to do?


Full Service Solution

All you have to do is send us your work, either by scanning and uploading it to us (the preferred option), or by mailing it to us, or by having us pick it up from your office. In addition, you will need to monitor the Incomplete Information page of the web site, and send us any missing or incomplete information, so we can effectively collect on a 100% of your claims.


Back Office Solution

You will need to scan and upload your work to us

Depending on the tasks you choose to have us do, you will primarily need to deal with only the exceptions that occur. These may include:

          - Fixing any incomplete billing information that may result either from your not giving us             complete information, or because we could not read a certain scanned page, etc.

          - Fixing some validation errors that cannot be fixed by us

Appealing incorrect denials

Printing and mailing your patient bills and secondary claims and some primary paper claims.

Responding to your patient’s billing inquiries.

Taking action on your ‘Zero’ payments

In any event, you will be clearly informed of all actions that you need to perform

The state-of-the-art software simplifies all your tasks. As an example, printing secondary claims is a trivial exercise, as the Primary EOB can be viewed and printed directly through the software, removing the need for you to search for it and photocopy it.

20. How do claims get submitted?


Full Service Solution

We electronically submit all clean claims daily. We mail claims daily to insurance companies that do not yet accept electronic submissions. We monitor all electronic submission reports for denials and eligibility issues, and take necessary action.


Back Office Solution

This is an optional task that you can choose to do yourself. However, we recommend that you let us do this for you.

Yes. The database supplied with the Back Office Solution software is capable of supporting up to 5 users. Should you have a need for more users, we can supply you with a database that will support unlimited users, at an extra charge. Please call us to discuss this particular issue. In the Full Service Solution, there is no limit to the number of users who can access the web site.
